Log-in on the App

Write a custom name or leave it blank and introduce your Company code  to succesfully log-in on the App. The Company code can be viewed on the account confirmation e-mail sent to the administrator and on the web portal.

How to scan a visitors’ Badge

Open the App and press the yellow button, then scan the badge QR with the back camera. If a Lead has been scanned successfully you will be notified and it will appear as the last scanned Lead on that device.

 

Another way to scan a Lead is with Manual Input. Click on the three dots on the right top corner of the screen and then on ”Manual Input”.

Or completely create a new Lead with no badge ID

 

Scanning offline

If you do not have access to a stable connection, it is possible to scan off-line. This, however, comes with limitations. You will be only alowed to scan Leads, which will appear as non-synchronized Leads, but won’t be able to make use of the additional features such as Notes, Tags, etc as it will not be able to save the information.

The App will let you know that you’re scanning off-line with a warning.

As well as it will also let you know which Leads aren’t synchronizing with the database (backoffice).

Once you regain connection, if you close the App (without loging out) while connected to the internet, the App will synchronize those Leads you scanned off-line by itself. Please take into account that if you still see the non-synchronized Lead on your list after regaining connection, that you might have scanned a non-badge QR, which will not work with our App.

 

If you continue to experience issues with Leads not synchronizing, we urge you to contact our team so we can help you out.

Lead information

After scanning, click on the Lead’s profile to view all the information and make use of the additional features. To view more information, click on ‘’Lead details’’ to expand the data.

You can also rate your Lead as Hot, Warm or Cold. If not used, the lead will appear as ‘’not rated’’.

 

Add Leads to your phone

You can add Leads to your contact list inside your phone. To do this go into the Leads detail and click on the human icon next to the telephone number.

 

Additional features

After scanning, access the visitors’ profiles and make use of the different additional features the App includes. 

*Most of these features must be set-up previously on the web portal.

Rate your Lead

Add a quick rating to your Lead. You can choose between Hot, Warm, Cold and even leave it as Not Rated.

Classify with tags

Add tags to the scanned attendee for easy post-event filtering and better-quality leads. Use New tag + to create new ones on the spot. You can use our 4 default tags or create your own.

Conduct surveys

Select a survey to conduct from your list to start it. Once it’s finished, click on done to save the progress. The survey will then appear as completed.

Add notes

Write annotations on the scanned attendee profile. These notes can be edited and updated afterwards. Make sure to click save once finished.

 

Add images
Take or upload a picture to attach it to the scanned lead.

Send Information; documents or an e-mail

– Send documents: Here you can send documents to the person you just scanned. To send a document simply select it, it will appear in an orange hue and then you can click ”send”. 

 

 

Send a direct e-mail: Write your email address as the sender and prepare a subject and e-mail body to send it.

 

GDPR Consent pop-up

Use our GDPR pop-up to ask for further consent on the visitors’ data. Fully customize it on the web portal; it features a summary, URL, and up to 4 checkboxes. It can be forced when scanning or when accessing to the Lead’s details.

 

 

Leads

Here you will be able to view, filter and search all of your Leads for a quick preview on the App. Click on any Lead and you’ll be taken to the profile, where you can change or make use of any of the additional features previously explained.

 

Meeting Rooms

Another feature on our App is Meeting Rooms. With this scanning mode you will be able to write the name of a meeting and scan visitors as IN and OUT. You can download the information on the backoffice in a separate excel.

Insights

You can access real time reports from the insights tab. Visualize stats of daily leads and scans corresponding to the scanner user that is logged in at that given moment.

Unique id for your device using the App. If you tap on it you can force synchronization for Leads.

Legal notice

1. Ownership of the Web site

FIRA BARCELONA with an address in Barcelona, Reina Mª Cristina Ave. s/n and bearer of Fiscal Identity Number CIF Q-0873006-A, which is inscribed on Page 7 of Book I of the Official Register of Catalan Trade Fairs, is the owner of the web site firabcn.com (hereinafter referred to as the Web site) which makes it available to Internet users, in order to provide information on the services, congresses, exhibitions and fairs of the FIRA as well as to provide services through the web site.

 

2. Communicating FIRA domain names to the corresponding Registers

FIRA states that it has communicated the domain names that are currently in use to the Registry of Trade Fairs in accordance with the provisions of article 9 of Law 34/2002, of 11th July covering E-commerce and Information Society Services.

 

3. General Conditions of Use and Acceptance of these

The purpose of these general conditions for the use of the web site together with the general contractual conditions for the services that are provided therein, as well as any other specific conditions that may be established, is the regulation of and provision of information to the users of FIRA BARCELONA services and the regulation of the use of the Web site.

Browsing and using the services of the web site implies the acceptance as a User without any reservation whatsoever, of all the general conditions of use, the general contractual conditions and any others that may exist in relation to the provision of services by FIRA.

FIRA may modify these general conditions as well as the general contractual conditions and the general conditions that are included through the publication of the aforementioned modifications to the web site at any given time and without any prior warning, so that users may be previously aware of them.

General conditions for the use of the website

1. Personal Data Protection Policy

1.1.- In accordance with the provisions of European Royal Decree on personal Data Protection  679/2016 of 27th April, the User accepts that any data obtained while using the Web Site, or which has been provided through filling out any forms that are contained therein, as well as any data resulting from any possible commercial relations that may take place, may be included in an automated personal data file of the type described above.

During the data collection process, the User shall be properly informed in that part of the Web Site where the data is requested by means of a hyperlink or the inclusion of the information on the actual form itself as to whether the collection of such data is obligatory or not for the provision of services, and he/she shall also be informed of these rights.

1.2.- Rights of the User: With regard to the data obtained, the User may exercise the rights provided for in the aforementioned Royal Decree, and in particular his/her right to access, rectify, cancel or deletion and object to such data, as well as the right to portability and limitation of the processing.

The exercise of the aforementioned rights can be made by postal mail, enclosing a copy of your ID or passport, to FIRA INTERNACIONAL DE BARCELONA, to the postal address Av. Reina Mª Cristina s/n 08004 Barcelona, CRM Marketing Services Department or by email to datos@firabarcelona.com or datos.alimentaria@alimentaria.com, with the same documentation as by postal mail.

1.3.- Security measures: According to the article 25.2 from the aforementioned Royal Decree FIRA BARCELONA has adopted the technical and appropriate measures in order for ensuring that, by default, only personal data which are necessary for each specific purpose of the processing are processed.

1.4.- Cookies:  The use of cookies through the web site will be governed by the provisions of the Cookies Policy, accessible at all times from the web site and being part of this Legal Notice.

 

2. Industrial and Intellectual Property. Hyperlinks policy

2.1.- All the content included in the Web site and especially brand names, commercial names, industrial designs, designs, texts, photographs, graphics, logos, icons, software or any other signs susceptible to being used industrially and commercially are protected by the industrial and intellectual property rights of THE FIRA or those of the third parties who own them and who have authorized their inclusion in the Web site. Accordingly, any use and/or reproduction of these without the express of THE FIRA is prohibited.

2.2.- FIRA shall not be responsible for infringements of the intellectual or industrial property rights of third parties that might arise as a result of the inclusion in the Web site of brand names, commercial names, industrial designs, designs, texts, photographs, graphics, logos, icons or software belonging to third parties who have declared themselves to be the owners of the same upon their inclusion in the Web site.

2.3.- In no case shall it be understood that the User’s accessing and browsing the site implies authorization or renunciation, transmission, total or partial cession of these rights or the concession of any right or the expectation of rights and specifically, the changing, transformation, exploitation, reproduction, distribution or public communication on this content without the express and previous authorization of FIRA or of the corresponding rights holders.

The use by exhibitors of THE FIRA brand names in their catalogues, brochures, commercial documentation, web page or in any other form at the corresponding exhibitions must be expressly authorized by FIRA.

2.4.- No link may be established to the Web site from any other web site without the prior and express consent of THE FIRA.

Any links that are established must be to the main web page of LA FIRA or if applicable, to that page that the FIRA itself indicates, and this link shall be absolute and complete in such a way that it links the User to the FIRA web page which must include the complete content from the main page screen.

2.5.- FIRA shall not be responsible for the content of the web pages that users connect to through links on the Web site, nor shall it be responsible for any infractions of the rights of third parties that these pages may incur.

 

3. Liability of FIRA BARCELONA

The User recognizes and accepts that he/she shall be fully responsible for the use of the Web site and its services.

FIRA shall only be responsible for the damages that the User may suffer as a consequence of the use of the web site when this damage is attributable to a fraudulent action of FIRA.

Nevertheless, FIRA declares that it has adopted all the necessary measures, within its possibilities and the state of its technology to guarantee the functioning of the Web site and to avoid the existence and transmission of viruses and other components that might damage Users.

 

4. Obligations of the User

The User undertakes to use the content of the web site diligently, correctly and lawfully and he/she also undertakes to refrain from:

a) Using the content for objectives or purposes that are against the law, morality and the correct codes of use and public order.

b) Reproducing, copying, distributing, allowing access to the public through any type of public communication, transforming or modifying content, without the corresponding authorization of the holder.

c)Using the content of the web site to send advertising, communications for the purposes of direct sales or for any other type of commercial purpose, sending unsolicited messages directed at a number of persons for this purpose, as well as abstaining from commercialising or disclosing this information in any way.

 

5. Commercial communications

FIRA may send commercial communications by any method that fully respects all in-force legislation that concerns the protection of personal information.

For commercial communications sent by e-mail and in fulfilment of the provisions of Law 34/2002, of 11th July, on E-commerce and Information Society Services, the consent of the User.

At any time the User may withdraw his/her consent to receive personal communications by sending a simple notification of his/her request to FIRA by sending a message to the e-mail address: datos@firabarcelona.com

 

6. Applicable legislation

The relations established between the User and the owner of the Web site are to be governed by the provisions contained in current regulations concerning the applicable legislation and the competent jurisdiction. Nevertheless, for cases in which the regulations foresee the possibility of the parties submitting themselves to a certain jurisdiction, FIRA and the User submit themselves to the Courts and Tribunals of Barcelona and expressly renounce any other jurisdiction that might correspond to them.

The regulations of the Spanish legal system shall be applicable in all cases.

General contractual conditions

1.- These General Contractual Conditions together with the specific conditions that, might be established if it were if necessary, shall expressly regulate the relations arising between FIRA BARCELONA and the exhibitors who contract the services offered through the Web site.

2.- These General Conditions have been drawn up in accordance with the provisions of Law 7/1998 on General Contractual Conditions, the Law 3/2014 of 27th March General Law for the Defense of Consumers and Users, Law 7/1996 of the Retail Trade Act and if necessary by Law 34/2002, for Information Society and E-Commerce Services.

3.- The provision of any of the services of the Web site implies the User’s acceptance of each and every one of the General Contractual Conditions, of the General Conditions for the Use of the Web site and if applicable the Specific Conditions governing the provision of the service.

4.- FIRA BARCELONA informs that the procedures to carry out the provision of the services offered are those described in these conditions and those that are indicated on the screen and those which refer to each specific service in a way that the User has access to this information in a truthful, efficient and complete manner at least three days before the contracting of the service, and the User declaring that he/she is aware of and accepts these procedures as being necessary for the provision of the corresponding service.

5.- All the information provided to FIRA during the contracting processes shall be stored in such a way that the User may request information referring to the operations carried out by him/her during the previous three months with these requests always being made via a fax or e-mail sent to FIRA.

6.- In order to access services that are provided and offered through this web site, FIRA may provide the User with a User name and a “Password”. The User name and Password provided are identifying elements that authorize the user to access the Services of the Web site and they are personal and non-transferable. FIRA may make modifications to these after informing the User, in which case the modified codes shall lose their validity.

7.- All the technical resources that are necessary to access the Web site and provide FIRA services together with any taxes or expenses of any other type arising out of the provision of services shall be the exclusive responsibility of the User.

8.- The contracts signed through this Web site shall be governed by the laws of Spain which shall be applied to aspects that are not covered by these conditions relating to matters of interpretation, validity and attachment.

However, for cases where the regulations foresee the possibility of the parties submitting themselves to a certain jurisdiction or other, THE FIRA and the User submit themselves to the Courts and Tribunals of de Barcelona and expressly renounce any other jurisdiction that might correspond to them.

2. For what purposes do we process your data?

At FIRA DE BARCELONA, we process the information you provide us with for the following purposes:

a) To send information directly related to your participation at the Exhibition Centre at which you are registered.

b) To send promotional information and/or advertising at our Exhibition Centres and the events we carry out, including by electronic means.

c) To provide help and resolve your queries through the forms included on the Exhibition Centres’ websites, in which case we will contact you by the phone number and/or email you have provided us with.

d) To register your email to so you receive the newsletter we regularly send to our customers, but only in the event that you have requested for that purpose.

e) For management purposes, in this case, of our contractual relationship, including the processing of the participation request and corresponding participation contract, management of invoices and payments, monitoring of payments if they have not been made effective on the agreed date, to promote client loyalty and to conduct service quality surveys.

f) For management purposes of your participation in the contest or raffle according to its terms and conditions.

g) To be able to provide you with products and/or services in accordance with your interests and improve your user experience we will create a client commercial profile on the basis of the information provided. No automated decisions will be taken based on the aforementioned profile.

h) Maintenance of lists of non-commercial deliveries in case we have that does not want to receive promotional information/advertising by electronic means.

i) Updating of lists of removal/cancellation of data in the event that you exercise your right to cancellation of your data. These data will be blocked and with restricted access during the minimum legal term established.

3. How long will we store your data?

Your data will be stored:

  1. During the minimum possible legal time frame (ex: in the case of service invoices).
  2. In the event that you do not enter into any commercial/trading relations with FIRA DE BARCELONA:
    • a) If you didn’t attend to any of our events for a period of three (3) annual exhibition editions and
    • b) if you didn’t attend to any of our events for two (2) editions for biannual and triennial exhibitions.
  3. In the event of requests for information or queries: the amount of time required to respond to these.
  4. For subscribers to newsletters, after three (3) months, except in the case of unsubscription, mail data will be partially deleted (disassociation), for statistical monitoring.
  5. In the event of participating in any of our raffles or contests, until its completion or until compliance with the obligations contemplated in its terms and conditions.

 

4. What is legal basis for the processing of your data??

Depending on the type of business relationship and/or link with us, the legal basis for processing your personal data may be:

  • Your consent, given at the time of voluntarily providing your data in our forms and accepting the processing of personal data in the corresponding box (Ex: Sending of advertising about our exhibitions).
  • However, we may process your data based on the existing contractual relationship between the parties as a result of your participation in an event organised by FIRA DE BARCELONA (Ex: Formalisation of the participation contract).
  • The execution of the terms and conditions of the contest (execution of contract) in which you have provided your consent to manage your participation.
  • The legitimate interest will serve as a legal basis for the processing of your data when browsing our websites (Ex: Navigation on our web pages).
  • Legal obligation, included in the European Regulation on Data Protection and the Law of Services of the Information Society and Electronic Commerce LSSI (Ex: blocking of your data and listing as non-commercial deliveries).

 

5. Who will we share your data with?

a) Enquiry form data will not be shared with any third parties. They are solely processed internally at FIRA DE BARCELONA.

b) When FIRA DE BARCELONA offers you a service through a third-party provider, your data will be communicated to this company, with strict obligation to confidentiality and after the formalisation of the corresponding contract for the provision of services between the Data Controller (FIRA DE BARCELONA) and the Data Processor (supplier company).

c) For subscribers to the newsletter data will not be transferred, they will be processed by a third company which manages the newsletter, with which the due service contract as Processing Manage has been signed.

In the event of transferring your data to third countries, we take care to ensure the maximum level of privacy and security to our clients’ data. In this regard most of our suppliers and partners are within the EEA (European Economic Area). In the event that any of them be located outside of this area, it must be in a country with appropriate levels of protection in accordance with the criteria of the European Commission. In the case of other countries which do not have laws as strict as European legislation, we apply standard contractual clauses in accordance with the Decision (EU) 2021/914 of 4 June.

FIRA DE BARCELONA guarantees under no circumstances to sell, offer and/or market with the data of its clients.

6. What are your rights when you provide us with your data?

Everyone has the right to obtain clear and understandable information regarding whether their personal data is being processed by FIRA DE BARCELONA.

Interested parties have the right to access their personal data, as well as to request the rectification of inaccurate data or, where appropriate, request its deletion when, among other reasons, the data are no longer necessary for the purpose they were provided for, as well to withdraw the consent granted. The exercise of opposition to the processing of their data for the sending of advertising information by electronic means. They may also exercise their right to the limitation of the processing, so that their data will not be removed but its processing will be subject to limitations.

The exercising of portability and decision automation do not apply in this case due to the type of data and the processing of these.
